YourCampusPal ("we," "our," or "us") is operated by Dean I.T. Services, doing business as Dean Ventures. YourCampusPal is a B2B multi-tenant platform for Philippine school operators — a control plane for school branding, contacts, access provisioning, guardian links, and modular tenant rollout. It is not a full learning management system (LMS) or student information system (SIS).
This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the YourCampusPal hub, related marketing properties, and connected school tenant services. By using YourCampusPal, you agree to the collection and use of information in accordance with this policy and the Philippine Data Privacy Act of 2012 (Republic Act No. 10173).
2. Information We Collect
2.1 Authentication Information
When school owners and authorized operators sign in through Clerk authentication, we may collect:
- Email address and account identifier
- Display name and profile information you provide
- Authentication session data and security logs
- Invitation and password-reset metadata managed through Clerk
2.2 School and Tenant Information
We collect information you provide when configuring each school tenant, including:
- School display name, type, portal slug, logo, and brand colors
- Locale, demo URL, and production URL settings
- Subscription and contract references tied to your B2B agreement
- System provisioning requests and deployment status
2.3 Contacts and Access Records
As a school operations hub, YourCampusPal stores directory and access data on behalf of authorized school operators:
- Student, guardian, staff-linked, and organization contact records
- Philippine identity, tax, and address fields entered by authorized users
- Staff platform access rows and portal access rows (student and guardian logins)
- Guardian-to-student link relationships
- Clerk invitation status for staff and portal accounts
2.4 Marketing and Inquiry Information
When you submit a demo request or contact form on our marketing site, we collect the information you provide, such as your name, work email, school type, and message content.
2.5 Usage and Technical Information
We automatically collect certain information when you use YourCampusPal:
- IP address and device information
- Browser type and version
- Pages visited and features used
- Date and time of access
- Error logs and performance data
3. How We Use Your Information
We use the collected information for the following purposes:
- To provide, maintain, and improve the YourCampusPal hub and related tenant services
- To authenticate hub users and manage staff and portal invitations through Clerk
- To process school onboarding, provisioning requests, and tenant configuration
- To communicate with you about your account, demos, contracts, and support requests

- To detect, prevent, and address technical issues and security threats
- To comply with legal obligations and respond to lawful requests

4. Clerk Authentication
YourCampusPal uses Clerk for identity and access management. School hub owners sign in through YourCampusPal's Clerk application. Staff and portal users are provisioned on per-school Clerk instances configured for each tenant.
- Authentication credentials and session tokens are managed by Clerk under their security standards
- YourCampusPal sends invitation and password-reset actions through server-side integrations; secret keys are not exposed in client applications
- Each school tenant's staff and portal access is scoped to that tenant's Clerk configuration
- You may manage or revoke access through YourCampusPal admin tools and applicable Clerk account settings
Clerk's handling of personal data is also governed by Clerk's Privacy Policy.
5. Data Sharing and Third-Party Services
We do not sell your personal information. We do not sell, rent, or trade personal information to third parties for monetary or other valuable consideration. We share information only as described in this section with service providers who process data on our behalf under contractual obligations.
5.1 Third-Party Service Providers
We work with trusted third-party service providers to operate YourCampusPal:
- Clerk: For hub, staff, and portal authentication and invitation services
- Cloud hosting and database providers: For application hosting, storage, and backups
- Form and communication tools: For processing marketing demo requests and operational notifications
These service providers are contractually obligated to protect your information and use it only for the purposes specified in our agreements with them.
5.2 Legal Requirements
We may disclose your information if required by law or in response to valid legal requests, such as compliance with court orders, protection of our rights or safety, prevention of fraud, or compliance with applicable laws including the Data Privacy Act of 2012.
5.3 Business Transfers

You can update and correct account and contact information through YourCampusPal where your role permits, or by contacting us.

You may request deletion of your account and associated data by contacting us. Certain information may be retained as required by law, contract, or legitimate business purposes.
7.4 Objection and Restriction
You may object to certain processing of your information or request restriction of processing under applicable data protection laws.
8. Cookies and Tracking Technologies
YourCampusPal uses cookies and similar tracking technologies to enhance your experience:
- Authentication Cookies: Required for maintaining your login session

- Hub account information is retained while your account is active and for a reasonable period after account closure
- School tenant, contact, and access records are retained according to your B2B contract and applicable legal requirements
- Authentication and provisioning logs are retained only as long as necessary for security and audit purposes
10. Student and Minor Data
YourCampusPal is a B2B service used by school operators. Schools and their authorized staff enter contact and portal access information, which may include data about students and minors. In these cases, the school operator is responsible for obtaining lawful consent and complying with applicable education and privacy regulations. We process such data only on behalf of authorized school operators to provide the Service.
11. International Data Transfers
Your information may be transferred to and processed in countries other than the Philippines. These countries may have data protection laws that differ from those in your country. By using YourCampusPal, you consent to the transfer of your information where necessary to provide the Service. We take appropriate safeguards to ensure your information receives adequate protection in accordance with this Privacy Policy.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Privacy Policy on this page with a new "Last Updated" date, sending an email notification to your registered email address, or displaying a prominent notice within the YourCampusPal application.
