Services ("we," "our," or "us") doing business as Dean Ventures, respects your privacy and is committed to protecting the personal data of our users, training center partners, and their trainees. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web platform and mobile applications. This policy is designed to comply with the Philippine Data Privacy Act of 2012 (R.A. 10173).

2. Information We Collect

We collect information that identifies, relates to, describes, or could reasonably be linked to you or your institution. This includes:

2.1 Information Provided by Training Centers

• Account Information: Organization name, branch locations, administrator names, email addresses, and contact numbers.
• Staff Information: Profiles of instructors, assessors, and administrative staff.
• Financial Information: Billing details, subscription preferences, and payment records.

2.2 Information Provided About Trainees

As a data processor for training centers, we host trainee data which may include:

• Personal identification details (Name, Date of Birth, Contact info)
• Enrollment and attendance records
• Assessment scores and competency evaluation statuses
• Tuition payment histories, fee schedules, and payment verification records

2.3 Automatically Collected Data

We automatically collect diagnostic and usage data when you access the platform, including IP addresses, browser types, device identifiers (for mobile app users), and log data concerning platform interactions.

3. How We Use Your Information

We use the collected information for the following purposes:

• To provide, operate, and maintain the YourCampusPal platform
• To process transactions, generate invoices, and track financial records
• To facilitate attendance tracking, Training Hours calculations, and competency evaluations
• To improve platform functionality and develop new features
• To provide customer support and respond to inquiries
• To monitor platform security and prevent fraudulent activity

4. Data Sharing and Disclosure

We do not sell your personal data. We may share information only in the following circumstances:

• With Service Providers: Third-party vendors that provide cloud hosting, database management, and email infrastructure on our behalf.
• For Legal Reasons: If required by law, subpoena, or other legal processes, or to protect the rights, property, and safety of Dean Ventures, our users, or others.

We implement enterprise-grade technical and organizational security measures designed to protect your data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. Data is stored in secure cloud infrastructure with encrypted backups.

We retain trainee and organizational data for as long as your account is active. Upon account termination, we will securely delete or anonymize your data in accordance with our retention schedules and legal obligations.

6. Your Rights

Under the Data Privacy Act, you have the right to be informed, object to processing, access, rectify, erase or block, and secure data portability of your personal information. To exercise these rights, trainees should directly contact the administration of the training center they are enrolled in, as the training center serves as the Personal Information Controller (PIC). We will assist training centers in fulfilling these requests.
